02The short version
We collect the minimum needed to sell you software and do the work you hire us for. We do not sell your data, we do not share it with advertisers, and the project details you type into the builder never leave your browser.
03What stays on your device
The document builder runs entirely in your browser. Project names, client details, site addresses, rate tables, and document content are processed locally and are never transmitted to us. Your firm profile, if you save one, is stored in your own browser and can be cleared at any time using the clear button in the builder.
This is a deliberate design choice. It means we cannot see your commercial information, and it means we cannot lose it.
04What we do collect
When you buy. Name, business name, email address, and billing country, collected through Stripe. Stripe processes the card itself; we never see or store card numbers.
When you contact us. Whatever you put in the email, plus your address and any attachments.
When you submit data for interpretation. The files you upload, the details on the intake form, and any correspondence about the job.
When you visit the site. If you accept analytics cookies: pages viewed, approximate region, referring site, and browser type, in aggregate through Google Analytics. We use this to understand which pages work, not to identify individuals. If you decline, none of this is collected.
05Why we hold it
- To perform the contract — issuing licence keys, delivering interpretation work, providing support.
- To comply with law — tax records, sales tax and VAT reporting, and accounting obligations.
- For our legitimate interests — preventing fraud, defending disputes over whether a licence was issued, and improving the product.
We do not use your data for automated decision-making or profiling.
06Marketing
If you buy from us or ask for the field guide, we may email you occasionally about the product. Every such email carries an unsubscribe link and we honour it immediately.
We do not sell, rent, or trade email addresses. Ever.
07Who else touches it
We use a small number of processors, each doing one job:
- Stripe — payment processing, invoicing, and tax calculation
- Netlify — website hosting
- Dropbox — receiving files you upload for interpretation
- Our email provider — correspondence
Each is bound by its own data protection obligations. We disclose data to no one else except where required by law, or where necessary to establish or defend a legal claim.
08How long we keep it
- Transaction and tax records — seven years, as required for accounting purposes.
- Licence key records — for the life of the licence plus two years, so we can resolve disputes about what was issued to whom.
- Interpretation project files — two years after delivery, unless you ask us to delete them sooner. We will, on request, return or destroy your raw data once the report is delivered.
- Correspondence — two years.
09Your rights
Depending on where you live, you may have the right to access the data we hold about you, correct it, delete it, restrict or object to how we use it, receive it in a portable format, or withdraw consent.
These rights apply whether you are covered by the UK GDPR, the EU GDPR, Australian privacy law, or a US state privacy law such as the CCPA. We apply them to everyone regardless of jurisdiction, because operating two standards is more trouble than it is worth.
Email sales@geosearches.com and we will respond within 30 days. We do not charge for this, and we will not make you jump through hoops.
If you are unhappy with our response, you may complain to your local supervisory authority — the ICO in the UK, your data protection authority in the EU, or the OAIC in Australia.
10International transfers
We operate from the United States. If you are in the UK, EU, or Australia, your data will be transferred to and processed in the US. Our processors maintain appropriate safeguards for such transfers, including standard contractual clauses where applicable.
11Cookies and analytics
We use Google Analytics to understand which pages people find useful and, where we run advertising, to see which adverts lead to sales. This uses cookies.
Nothing is set until you agree. Analytics and advertising cookies are switched off by default. The banner on your first visit asks you to choose, and we honour that choice — including if you decline. You can change your mind by clearing this site's data in your browser, and the banner will ask again.
We do not use advertising cookies from any network other than Google, and we do not permit third parties to track you across other sites through us. IP addresses passed to Google Analytics are anonymised.
The builder is unaffected either way. Project names, client details, rates, and document content are processed entirely in your browser and are never sent to us or to Google, whichever choice you make about cookies.
Your saved firm profile, if you create one, is stored locally in your own browser. That is not a tracking cookie, it is a convenience you control, and it is cleared with the clear button in the builder.
12Security
The site is served over HTTPS. Payment data is handled entirely by Stripe and never reaches our systems. Files you upload for interpretation go to access-controlled storage.
No system is perfectly secure. If a breach occurs that is likely to affect your rights, we will notify you and the relevant authority without undue delay.
13Changes
We will post any change here with a revised date. Where a change materially affects how we handle your data, we will email account holders directly.
